How to record employee training audio

Turn training material into clear employee audio with defined objectives, spoken scripts, accessible supporting resources, version control, and practical recording.

01 — Start from the training objective

Use audio where listening genuinely helps

Audio works well for explanation, scenarios, stories, reflection, and reinforcement. It is weaker for tasks that require constant visual reference, complex diagrams, or hands-on demonstration.

Write what the employee should understand or be able to do after listening. Split broad training into short modules with one objective each.

02 — Rewrite the material for listening

Do not read the slide deck aloud

Replace slide headings and dense bullet lists with spoken signposts, examples, and recap points. Name any supporting document clearly and explain when the listener should pause to use it.

Keep sentences short and define internal terms on first use. Read the script aloud to find sections that are technically correct but difficult to process without a screen.

03 — Record clean, consistent modules

Make updating practical

Record each module, introduction, and recap as a separate take. This allows a policy or product section to be replaced without rerecording the entire course.

Use the same room, microphone position, and level for related modules. Say the course name, module title, and version date at the beginning or include them in the accompanying metadata.

04 — Edit for comprehension

Remove friction and add navigation

Remove mistakes, interruptions, and duplicated explanations while preserving pauses after important instructions. Create chapters or separate tracks for topics employees may need to revisit.

Provide a corrected transcript and links to policies, forms, diagrams, and assessments. Audio should expand access, not become the only available format.

05 — Review and maintain the training

Treat audio as controlled learning content

Have the subject owner review accuracy and the learning owner review clarity before release. Record approvals, version dates, and the source policy or procedure.

Assign a review date and replace outdated modules promptly. Make it obvious which version employees should use rather than leaving several recordings with similar titles.
